Assist Admin Head in day-to-day Admin Functions / Operations of the North America Geography.
Oversee implementation of Client Security Policies and guidelines across the geography,
Monitor and ensure audit readiness of all location in the NA Geography.
Assist Head of Administration and Location Head in preparation of documents required for quality/security audit of the office.
Monitor and ensure locations comply with Statutory requirements, building codes etc so as to comply with Client requirements
Ensure compliance and adherence to Work Environment Guidelines (WEG) and HSE Guidelines.
Seat allocation & tracking and reporting of the same to US corporate office.
Prepare budget, track expenditure and monitor Budget utilization.
Monitor and implement cost control measures and ensure streamlined invoice payment process.
Client visit management including: - (1) Receiving the clients or Client Management, (2) Ensuring readiness of conference rooms/meeting rooms, (3) Extending necessary hospitality support in consultation with Office Head and respective Account Managers.
Receive Sr. Client / Client Group Management at airport / Hotels as and when directed by Supervisor
Coordinate, travel, conveyance and hotel bookings as and when directed by Supervisor
Coordinate with Location Admins and Property managers to ensure compliance with Statutory and building guidelines.
Ensure inventory management and timely capitalization of all Capex items.
Maintain record of Health Safety Environment Data as per the client process and assist location s Head to face internal/external audit.
Travel to multiple locations and oversee Audits, Construction works and other operational requirements as intimated by Supervisor (typical travel time not exceeding 25%)
Train and coach Admin team members on a regular basis.
Implement process improvement measures on a regular basis.
